Proposal Coordinator A/E

Overview

We are seeking a Proposal Coordinator for our Marketing Department in Orlando, Florida Office. The focus of this position is preparing proposals and presentations. Work directly with Director of Marketing to produce high-quality proposals and presentations from start to finish. The key responsibilities for this position are information gathering and maintenance, layout, design production, and delivery of proposals and presentations. This position requires exceptional time-management, attention to detail, planning, organization, layout software, and interpersonal skills. The ability to pivot easily between tasks is crucial for the successful performance of this role.

Candidates with 2-5 years in A/E marketing professional experience, preferred. Bachelor’s Degree (BA or BS) in Marketing, Communications, Business, English, or similar degree. or equivalent demonstrated experience with portfolio. 

  • Will be responsible for preparing proposals for multiple markets.
  • Develop, and produce quality, compliant, and compelling SOQs/RFQs and proposals and 330 forms, government forms.
  • Update, marketing content, resumes, presentations, project descriptions, and other related materials, for spelling, grammar, consistency, quality, and overall compliance with brand standards/voice.
  • Coordinate with subconsultants 
  • Create content and facilitate the creation of graphics, design layouts, and visuals for proposals and presentations.
  • Layout covers and tabs and print production in coordination with Marketing Director
  • Gather information/documents for use in proposals and presentations
  • Pro-actively update proposal elements, resumes, project descriptions, project photos, and additional boilerplate material
  • Maintain organized documents following the filing protocol for proposal archive

Qualifications

  • Related experience in the A/E industry.
  • Strong InDesign and graphic design skills.
  • Proficient in PowerPoint, Word, Excel and Photoshop, InDesign
  • Self-starter, multi-tasker, organized, and detail oriented.
  • Possess a sense of urgency to meet deadlines and work well under pressure.
  • Ability to manage multiple proposals simultaneously while maintaining quality of deliverables.
  • Ability to set schedules for proposal and presentation efforts, assign and oversee the completion of tasks, and keep them on schedule.
  • Strong organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to operate under tight deadlines, handling various projects simultaneously, and manage last minute/urgent requests. Must be able to adjust to multiple, concurrent deadlines.
  • Must have the ability to thrive in a collaborative environment and work well with others
  • Pre-employment drug screening is a condition of employment
